Refund & Cancellation Policy

1 Monthly Retainer Cancellation

All marketing retainer agreements operate on fixed monthly deliverables without long-term lock-in traps. Clients may cancel or pause their monthly retainer by giving written notice via email to info@qloudsoft.in or through their dedicated Account Manager at least 7 business days prior to the start of the next billing cycle.

2 Refund Policy on Retainers & Ad Management

Because digital marketing, on-location video shoots, creative development, and ad configuration involve non-recoverable resource allocation and talent hours from Day 1:

• Management fees for current active billing cycles that have already commenced are non-refundable.
• If cancellation notice is received before work has commenced for a scheduled upcoming month, any advance payment received will be refunded in full.
• Ad spend deposited directly into ad platforms (Meta Ads, Google Ads) is managed by the client or platform and is governed by Meta/Google refund policies.

3 Custom Software & Website Projects

For custom website design, CRM panel development, and custom web applications:

• Advance / Discovery Phase: If a project is cancelled prior to design approval and development commencement, a 50% refund of the initial deposit is granted after deducting discovery and architectural planning costs.
• In-Development Phase: Once custom code development or staging deployment has commenced, advance payments are non-refundable as they cover direct developer engineering hours.
• Milestone Guarantee: Payments linked to specific milestones are only due upon verified demonstration and sign-off of the corresponding milestone.

4 Refund Processing Timeline

Approved refunds are processed via the original payment method (Bank Transfer or official company UPI) within 5 to 7 business days following written approval from Qloudsoft management.
